FAQ about project funding

The first step is to read the appropriate guideline for the division or sector. The guideline states who the target group is, what kind of projects are funded, what the requirements are, how the procedure works, what the submission deadlines are and whether a jury selects the projects. If you are unsure whether your project can be funded by the corresponding guideline, please feel free to contact the named contact person.

The application for project funding consists of the fully completed project application and a balanced cost and financing plan that takes into account all anticipated expenses and income. In addition, the annexes to the application include a description of the project, details of the project participants, a timetable and a detailed breakdown of the fee costs, which clearly shows how the fees have been calculated. Please send your application documents to the e-mail address  kulturprojektestuttgartde by the specified submission deadline. Each application will be discussed in detail by the expert juries and a decision will be made as to whether we can fund the application in accordance with the guidelines. We will inform you about the jury's decision by mail.

In the funding confirmation, we inform you about the amount of funding your submitted project can receive. This is not yet the final notification of funding, but is for your information. Please submit an updated cost and financing plan eight weeks before the start of the project. If your cost and financing plan does not change, please inform us about the status of your planning and request your grant. Only then will we issue the grant notification (see point 5).

We usually have more applications than funding available. You can reapply for project funding with a revision/further development of the submitted project or with a new project. We do not provide information about the reasons for the jury's decision.

The notification of funding specifies the amount of funding you will receive and the conditions under which you will receive it. Here you will find information on the grant period, the basis for the grant, ancillary provisions, proof of use, payment of the grant and the instructions on legal remedies. You will find the instructions on how to appeal at the end of the notification of grant. You can lodge an appeal within one month of notification of the decision. We must therefore wait one month before paying out the funds. However, you can inform us at any time that you do not wish to lodge an appeal by completing the waiver of appeal form. We will then be able to transfer the funding amount in a timely manner. Please remember that at least five working days elapse between processing and disbursement.

Not everything can be planned, not everything always works out. If the times, title, project content or total income or expenditure change by more than 20 percent compared to the approved cost and financing plan (for example, due to receipt of additional grants), contact the relevant contact person immediately.

The notification of funding specifies what we need from you for the proof of use and when it must be submitted. If nothing else is stated in the grant notification, we do not need any invoices or receipts from you in the first step. You must always submit the submitted cost and financing plan, supplemented by the actual column, and the completed  form Proof of Use of Project and Investment Funding (opens in a new tab).

We have a two-step review process. If your project is selected for a detailed proof of use review, we will get back to you. This may also mean that we request the supporting documents. Therefore, keep the complete records for your project for at least ten years.
